When you place an order or send a message, we collect basic contact details — name, address, phone number, and flavour notes. These are used only to plan and complete your delivery. We never request payment card data online; all payments are processed directly upon handover or through secure third-party links when required.
Your details are stored within a secure local record accessible only to our small delivery coordination team. Data remains in the UK and is not transferred abroad. Records older than twelve months are cleared unless linked to outstanding issues or repeat customers who wish to keep preferences saved.
Our lawful basis for using personal data is legitimate interest — fulfilling an order you have requested and communicating essential updates about that service. We do not use the data for marketing or profiling. There is no automated decision-making or behaviour tracking.
Each delivery includes a route card referencing initials and postcode only, ensuring that lost papers cannot identify a full address. Digital versions are encrypted and deleted after seven days. Temperature logs, rider notes, and creamery batch codes are stored separately.
